Out of Office Status Query Widget for HCL Notes/Domino

Is John out of the office?

"Is John in the office today? His Out-of-Office notification said that he will return today," Mary asked.

"I am not sure but I heard that he has extended the vacation," Peter replied.

"Did he change his return date? You know, I won't receive another Out-of-Office notification even he changed his schedule. How can I check his latest Out-of-Office status?" Mary asked.

"You can use Query Out-of-Office Status side-bar widget in your Notes client and you will get the answer instantly," Peter replied.

Currently, some ways to find out an individuals out of office status is to:

Ask others within the organization or visit the individual’s specific department or location to find out
Send an email to the user and wait to receive the Out of Office notification

With the above options, chances are that you may not get a quick answer right away without having to spend time and effort searching.

Thankfully, Out of Office Manager’s ability to query other user Out of Office status will save you effort and time in which you will have the answer instantly. Out of Office Manager allows querying other out of office status via the iPhone or Android OOO App, or the Notes sidebar widget. As the below screenshots illustrate, simply type a username or group name and you will get the out of office status of user(s) instantly.

The great thing about this feature is that the out of office status will be the latest status, even if the user changed or updated the out of office schedule just minutes prior.

How to enable the Out-of-Office Status Query Widget feature ?

In order to use the Out-of-Office Status Query Widget feature, Out of Office Manager Server Component must be already installed on the Domino server.

By default this widget feature is turned off. You can turn it on and optionally specify who can use it in server settings document.

1) Open database OOO.nsf on your server by Notes client.

2) The Out of Office Manager page will be opened.

3) Click on "Configure Server Settings".

4) The Server Settings document will be opened. Go to the Server section.

5) Double check the Notes URL is correct. This is the URL to open the OOO database by Notes standard client.

You can use the "Launch" button to test whether you can open the page.

6) Double check the Web URL is correct. This is the URL to open the OOO database by web browser or Notes basic client.

You can use the "Launch" button to test whether you can open the page.

7) Go to Out-of-Office Status Query Widget section.

8. Click Yes to enable the feature. Optionally, you can use the "Launch" button to open the widget by web browser.

9. Specify who can use or cannot use the widget.

Fields	Description
Allowed to use this feature	People and groups allowed to use the Out-of-Office Status Query Widget; None allows all.
Not allowed to use this feature	People and groups not allowed to use the Out-of-Office Status Query Widget; None denies no one.

Note: The Deny list takes precedence over the Allow list.

10. On the Widget Installation page, you can choose to show either Notes widget or Web widget or both.

11. On the Widget Installation page, you can distribute the widget to users by email. You can use standard text or customized text for the Email.

Installing the Notes Widget on Standard Notes Client Manually

Prerequisites:
- Users are using HCL Standard Notes 8.5.2 or above client
- Show My Widget in sidebar panel. You can enable it in User Preferences - Widgets.

If this is not editable, you need to enable it in Desktop Settings.

- Allow to install widgets from e-mail or other in Desktop Settings.

1) Open OOO.nsf database on your server.

2) Click on "Install Out-of-Office Status Query Widget.

3) Out-of-Office Status Query Widget Installation page will be opened.

4) Drag the ooo_notes_widget.xml file to My Widget panel in sidebar.

5) The OOO Notes Widget will then be installed on your sidebar panel.

Installing the Notes Widget on Standard Notes Client Automatically

You can deploy the Notes Widget to users by Widget Catalog via Domino desktop policy. Refer to Domino documentation on how to use Widget Catalog to deploy Widgets.

Distribute the Notes Widget to users by e-mail

1) Open OOO.nsf.

2) Click on "Install Out-of-Office Status Query Widget.

3) Send an email with Notes/Web widgets.

4) A new mail will be composed and filled with default/customized text.

5) Select recipients and click Send.
