How a Web client submits a fax
Below is a diagram of the fax submission process and the components involved.

Submitting a HTML Page:
You can use a Web browser to open your Lotus Notes mail database, and then compose and send faxes. When composing a fax, you may also insert file attachment(s) as well.
The general steps are as follows:
1. A Web user sends a fax by composing a Memo from his/her Lotus Notes mail database. In the "To" field, he/she will address the fax recipient using the following syntax:
Recipient Name@Fax Number@ExtraFax
Where "Recipient Name" is the name of the recipient, "Fax Number" is the recipient's fax number that ExtraFax will dial. "ExtraFax" is the predefined fax foreign domain name of your ExtraFax server. Verify with the administrator to confirm what the fax foreign domain name is in the current environment.
2. When composing a Memo, not only can it be sent to a fax recipient, but it can also be sent to e-mail recipients simultaneously.
3. In the fax message body, simply type in a simple message or attach document(s) such as MS-Office documents, Adobe PDF files or other file types.
4. When a fax is submitted, the fax will be routed via the Lotus Domino server mail router task and delivered to the extrafax.nsf post office database located on the ExtraFax server. ExtraFax will then process the fax for delivery to the specified fax recipient(s).
5. Any attachments in the outgoing fax will be handled in one of the following ways:
- Native Application Printing - ExtraFax uses "Native Application Printing" as the default mechanism for server-side attachment printing / rendering. For example, users can attach a Microsoft Word document that will then be printed by the Microsoft Office application natively installed on the ExtraFax server. The rendered document will then be transmitted by ExtraFax to the destination fax recipient(s) ExtraFax uses native printing to ensure quality conversions of file attachments into a fax image. The way you see the attachment in its native application is the way it is going to be faxed.
- Lotus Notes Import Filters - If the "Native Application Printing" mechanism is not able to successfully print/render a file attachment(likely a result of the associated application for file attachment not being installed on the ExtraFax server), ExtraFax will then try using the standard Lotus Notes import filters to import the attachments. If successful, the document will then be rendered into a fax image for transmission. In general, the fidelity of the resulting fax image will not be as good as the one produced by the "Native Application Printing" technique.
ExtraFax Client - Print-to-Fax (Printing from within a Windows application to the WebFax printer)
Similar to its Lotus Notes client counterpart, you may also consider using the ExtraFax client - Print-to-fax driver that comes with ExtraFax in order to send faxes through the HTTP protocol. We would recommend using Print-to-Fax when:
- You need to print and send a document with large number of pages.
- The associated Windows application is not installed on the ExtraFax server
The general steps are as follows:
1. A Web user prints the document by choosing File
Print. In the Printer field, select the WebFax Printer. The Print-to-Fax driver renders the document contents at the user's computer, and then invokes WEBMAIL.EXE to send the document to the ExtraFax server.
2. The WEBMAIL.EXE program will prompt the user for the necessary address information e.g. Send To, cc:, Subject. In the "To" field, he/she will address the fax recipient using the following syntax:
Recipient Name@Fax Number@ExtraFax
3. Once the user has entered the address information, the WEBFAX32.EXE program will then establish a HTTP connection with the Domino server to submit the fax.
4. When a fax is submitted, The Domino server will convert the HTML page into a standard Notes e-mail message and the fax will be routed via the Lotus Domino server mail router task and delivered to the extrafax.nsf post office database located on the ExtraFax server. ExtraFax will then process the fax for delivery to the specified fax recipient(s).
